Information about the Triennale Conference
Participants
This High-level Event will convene a wide range of actors upon invitation including, Heads of State or Government and high-level dignitaries, Ministers, representatives of countries and other partners, parliamentarians, civil society, educators, education advocates, young people, academia and the private sector.
Arrangement for High-level dignitaries (including security arrangement):
The Ministry of Education Ghana will provide transport and security cover for high-level dignitaries; this includes Ministers and heads of government delegation. ADEA and the Ministry of Education will provide information on the extent of this cover once they confirm their participation.
Transportation
All participants living in the other listed hotels will be shuttled to and from the conference venue daily. Shuttles will be available every day to transport participants to the venue and back to the respective hotels after each day. Evening busses will leave the venue at the end of each day. The pickup point is situated in the parking lot of the hotels.
Information Desk
An information desk for the Triennale will be mounted just before the main entrance of the event. This will serve as the go-to-place for all enquiries regarding the event and any other logistical information.
Entering the Venue
All participants must enter from the main entrance of the hotel. All participants are required to enter with their badges. Signages and directional pull-ups will be posted to ensure that all participants find the appropriate rooms. Ushers in branded Triennale T-shirts will be walking around should you have any questions or need any assistance.
Physical Accessibility and Mobility
Persons with disabilities may be accompanied at all times by an usher, as long as they make a request. They will be automatically granted priority access upon arrival to the entrance. They will also be given a map of the venue which will indicate accessible doors, elevators, and restrooms.
Participation, Registration and Badges
Participation in the Triennale is free, but registration is required. All participants will need a badge to enter the premises of the venue for the entire duration of the event. All participants are required to pick up their badges at the designated places at the venue. Please keep an eye on the Triennale website for information update on badges. Or contact the help desk at the event venue for more on this.
Kindly note that badges will be valid during the entire period of the event and automatically gives access to all side-events, exhibitions, etc. For security reasons, the badges will be issued ONCE – so it is important that you do not lose your badge or forget it.
Funded Partners/Participants
Please note that participants previously contacted and approved by ADEA and the Ministry of Education are eligible to receive funding for their participation. All funded participants will receive emails with information on their eligibility. Alternatively, they may contact the registration desk for support and assistance. For any issues regarding flight scheduling (i.e. booking, connection, cancelling, etc.), please contact Aloise Prosper Faye on p.faye@afdb.org.
Lunch and Coffee Break
Lunch and coffee breaks will be provided during the event. Only participants staying at the Labadi beach hotel will be entitled to breakfast (per the hotel’s times). Vegetarian and gluten free options will be available.
Event QR Code and Program Agenda
A special QR code will be available for the duration of the event. It will contain soft copies of the program, agenda and all other materials for each of the breakout sessions, side-events. All participants are encouraged to scan this QR code to be able to access this information as there will be limited printout of the hardcopies of the program or agenda.
Partner Meetings and Side-Events
The first day of the event will be dedicated to partner meetings (meetings curated by partners themselves) and side-events. Whereas four rooms are dedicated for side events, any partner in need of any room for its meeting will need to make a special arrangement with the hotel. Partners who would like to organize side-events must fill and submit the side-event proposal form by September 15, 2025.
All enquiries specifically on the side events must be sent to adea@afdb.org as allocation of the rooms will be on first come, first served basis. Side events are limited to 2 hours. Please note that his time allocation may change as we update the event program. Bilateral Meetings, Interpretation and Others
There will be many smaller rooms available for bilateral and trilateral meetings for interested participants. Participants wishing to reserve one of these rooms should contact the Labadi Beach Hotel. Please note that rooms will be allocated on a first-come, first-served basis, with specific time limits and subject to availability.
- Interpretation: Simultaneous interpretation (English/French/Portuguese) will be available throughout the meeting.
- Wi-Fi: Wi-Fi access will be available in the meeting rooms.
- Seating: With the exception of speakers for each session, and key guests, seating in the conference rooms will be on a first come, first served basis.
VIP Lounge/Holding Room
A space dedicated for high-level dignitaries will be set up and communicated accordingly. Access to this lounge is limited to high-level dignitaries (Heads of State, Heads of Government and Ministers of Education, Government delegation). Two staff of the VIP entourage may access the lounge as well.
Special badges for access will be provided to them. Please reach out to any of the ushers for any assistance.
